• Registrations and payments can only be made online through Canada Water Tennis website www.cwtennis.co.uk. • Places are sold on a first-come first-served basis. Priority booking may be offered to all players already registered onto programmes that are frequently oversubscribed. • Once the maximum number of attendees is reached, a waiting list may be created and customers will be contacted if places become available. • We reserve the right to cancel any session or course that is undersubscribed. If this occurs you will receive a full refund for session or course. • If the Coaching team has to cancel a coaching session or programme you have booked because a coach becomes unavailable, we will suggest alternative arrangements and/or offer you a full refund for the sessions missed. • Force Majeure: We cannot, however, accept liability for any loss, damage or expense or make refunds in the event of any changes (whether before or during the courses) arising from force majeure such as war, threat of war, riots, civil unrest, strikes, natural disasters, fire, quarantine, epidemics, pandemics, weather conditions, government action, or other events beyond our control. • You are responsible for arriving on time for each coaching session. Warm up at the beginning of class is essential to our training. Latecomers will be asked to warm up before joining in class and if it is considered too late the coach reserves the right to prohibit participation. Coaches have the right to refuse entry to a class in case of persistent lateness. • You should wear appropriate tennis or sportswear to coaching sessions. Only recognised non marking tennis shoes may be worn at our coaching sessions. • Canada Water Tennis (CWT) is not liable for any incorrect information supplied by players. • We reserve the right to refuse entry to a course or advise a more appropriate session if any participant is found not to be of the correct age/ability, or is unable to complete a course due to being in the incorrect age/ability group. • Players must inform CWT of any medical condition or disability which may be relevant to the person booked into an activity. Players must also notify us of any change or deterioration of any such medical condition or disability. We will keep this information confidential and handle such issues with great discretion. • We are unable to accept replacements of players in lieu of your booking. • Any aggressive actions (verbal or physical) towards our staff, employees or clients will not be tolerated. • CWT can accept no responsibility for loss, theft or damage to any personal items whilst on our courses. • Lost property, balls or equipment found should be handed back to the owner or to the nearest available staff member. • People not playing sports should respect players on court by not making too much noise or causing any distractions. • CWT strive to provide an inclusive environment for everyone. Should you have any concerns during your visit, please bring this to a staff member’s attention immediately. • Photography: Please be advised that taking of photographs of our groups lessons during the group sessions is not allowed without other players' and the coaching team's permission. If you wish to take photos, please ask if it is allowed. CWT take photographs and videos at the venues we are coaching that can be used for marketing and promotional purposes, including social media. • We reserve the right to decline access to anyone who does not comply with our policies. You will have no right to a refund or credit in this case. |
• Child Protection Policy: We take steps to ensure that any members of our coaching team working with children are suitable to do so, through the use of references and background checks. We will ensure that all of those working with children are following the LTA code of conduct for people working with children in tennis. • Medical Conditions Policy: Parents/carers must inform us of any medical condition, disability, or medication taken by their children which may be relevant to the child’s safety on the tennis court. We will keep this information confidential and handle such issues with discretion. • Payment Policy: Payment must be made on registration to reserve a place in the relevant group/class. Registration forms containing prices, dates and all necessary information are available on our website. The total fee cannot be reduced due to days absent. • Refund Policy: Any registration cancelled more than 14 days before the first session will be charged an administrative fee of £15, and refunded the remainder of registration fee. Registration cancelled no less than 7 days before the event will be charged an administrative fee of £15, and refunded 50% of the registration fees. Registration cancelled fewer than 7 days before the event will not be eligible for a refund. • It is Parents/carers responsibility to ensure junior players arrive on time with the correct equipment ready to play, also collecting junior players after the tennis lesson on time, and communicating any changes in pick up methods to us. • Parents/carers who ‘drop off’ their children must be contactable at all times. • Parents/carers waiting in the common areas at the venues Canada Water Tennis (CWT) are coaching must ensure that siblings/other children are supervised at all times and are asked to wait quietly in the common areas. • Parents should not be on the court during sessions unless specifically invited by the coach. If tennis lessons are held indoors parents are not permitted to be in the coaching hall at any time unless specifically invited by the coach. The space inside the coaching hall can be very limited and your presence can be a distraction for your child and/or other children. • Verbal or visual instructions from the courtside are not allowed, because it can be detrimental to the session for the players and coaches. • Children should not be left unsupervised at any premises where we are coaching and must be collected by a parent or carer at the end of each session. If parents/carers have notified us that a child 12 years or above can leave premises unsupervised, CWT cannot take responsibility for your child after they have left the coaching premises. • Photography: Please be advised that taking of photographs of junior players during our programmes is not allowed without other parents' and the coaching team's permission. If you wish to take photos, please ask if it is allowed. The only exception is made during the last day of tennis camps when we are giving certificates / awards to all players where photographs/video recordings are permitted. By signing your child onto one of our sessions, you are giving consent to CWT to photograph or film your child during programme activities for CWT archive or promotional use. If you do not agree to this please inform us. |
• Wet Weather Policy: We will always endeavour to stay out in the wet weather and continue as scheduled irrespective of the weather, unless it is a heavy rain and persistent. Please assume in the first instance that all sessions will go ahead and bring suitable waterproof or cold weather clothes for the conditions. Where possible and depending on the coaching venue facilities, we will look to come indoors onto the badminton courts and/or other spaces, where we will be working on strength and conditioning, match tactics and scoring. In case if indoor spaces are not available. A possible make up lesson or a credit could be issued due to wet weather cancellations. Credits expire after 6 months. If a session runs over 20 min and is interrupted due to poor weather conditions, the session is considered a full session and no refund or credit will be issued. In the event of such a cancellation, you will be contacted by email or text using the contact details you have provided to the booking service. Please ensure that these details are correct and please confirm receipt of the lesson cancellation on each occasion. Coaches will contact everyone in the class at once and so will not be able to respond individually to texts, emails or calls querying the weather. Sometimes, decisions will be taken last minute, as the weather is so changeable. Please assume in the first instance that all sessions will go ahead and bring suitable waterproof or cold weather clothes for the conditions. • Missed Group Lessons Policy: If a player misses a group lesson due to exceptional circumstances, e.g., on presentation of a doctor’s note, the coaching team will endeavour to provide a make-up lesson options for a maximum of 2 missed lessons. A minimum of 24 hours notification to the coaching team is essential if you are going to miss a lesson. It is the sole responsibility of the player/parent to enquire with the coaching staff regarding the make-up lessons. The coaching staff cannot guarantee make up lessons but will endeavour to provide as many different options as possible. Make up lessons cannot be carried over to a new term. Please note that doctor's appointments will not be regarded as an exceptional circumstance. |

It is the sole responsibility of the player/parent to enquire with the coaching staff regarding the credit. Please note that doctor's appointments will not be regarded as an exceptional circumstance. • CWT do not provide any sort of food and drink for the lunch breaks during the camps, parents are therefore to pack children’s food, snack and drink (hot and cold). |

A minimum of 24 hours notification to the coaching team is essential if you are missing a lesson. It is the sole responsibility of the player to enquire with the coaching staff regarding the credit. Please note that doctor's appointments will not be regarded as an exceptional circumstance. |
• Private coaching sessions are to be arranged directly with the coach who is exclusively responsible for managing and delivering these sessions. • Coaches are responsible for attending any session they have arranged. • All payments to be made directly to the coach. • Cancelation Policy: All private lesson cancellations should be made by contacting the coach directly, at least 48 hours in advance. If only 12-48 hours notice is given by you for the cancellation of a private tennis session, you will be charged 50% of the lesson price. If the player cancels the lesson without a prior notice less than 12 hours before the lesson, he/she will be charged the full price of the lesson. No refund or credit will be given. • Late start and Late arrival Policy: All one-hour lessons will end one hour after the scheduled start time. All coaches are required to wait 15 minutes after scheduled time for clients to arrive for their lesson. If after 15 minutes the client has not directly contacted the coach, the instructor may contact the player directly, but is not required to do so. Lessons that are cancelled in this situation will be considered lost. If a participant is more than 15 minutes late, the lesson will be cancelled and the participant will forfeit the lesson. If the lesson begins late, the session will still end at the original scheduled time made between the instructor and client. • Wet weather policy: We usually carry on whatever the weather, unless persistent heavy rain makes the courts unplayable. Some of the venues we are coaching in have dedicated onsite personnel responsible for making dynamic decisions daily on the use of tennis courts. Their decision whether tennis courts are deemed safe to play on is final. If they deem a court is safe to play on, and the decision not to play is made by the customer, credits for the court fee will not be given and coaching fee is to be discussed directly with the coach who is exclusively responsible for delivering the session. If the session is interrupted due to bad weather, the lesson will be charged as follows: - within the first 15 minutes of the lesson: the lesson may be rescheduled at no cost, - after 20 minutes: 1/2 charge, - after 30 minutes: full charge. |
• CWT Gift vouchers can only be used for the category for which they are purchased, i.e., Adult Group tennis lessons or Holiday Junior Tennis camps. • Once you have purchased the voucher, please allow 24 hours for the printable version of the voucher to be emailed to you. • When buying a voucher, you are NOT making a booking for a class or event. The voucher will have instructions for the recipient of how to book themselves in. • CWT is not liable when provided with the wrong email address of the gift card receiver. Furthermore, CWT is not liable when the gift card got lost, stolen, misused or delayed forwarding (technical difficulties). • Vouchers must be redeemed within 1 year of the date of purchase. Expiration date will be shown on the voucher. • Gift vouchers can be redeemed for selected tennis classes online through our homepage www.cwtennis.co.uk. • If the value of your gift voucher is not enough, you will be able to pay the difference with another payment method offered by the Booking platform. • Unused Gift Vouchers cannot be used to purchase other Gift Vouchers. • Gift Vouchers are non-refundable, not redeemable for cash and aren't for resale. • The purchase of a Gift Voucher does not guarantee a space in a programme. Some of CWT classes can be very full, so the recipient may have to wait before they are able to use their voucher. |
